Terms & Cancellation Policy

These terms apply to all bookings made through Mongol Adventure, operated by Ortoo Coffee & Tours, Kharkhorin, Övörkhangai Province, Mongolia. By sending a booking request, you agree to these terms.
1. Booking and confirmation
A booking request is not a confirmed booking. Your spot is confirmed only after we receive the 30% deposit and send you a confirmation email. We reserve the right to decline any request.
Seats are held from the moment you submit a request. If the deposit is not received within a reasonable time, we may cancel the hold and release the seat.
2. Deposit
A non-refundable deposit of 30% of the total trip price is required to confirm your booking. Payment details are sent by email after you submit your request.
The deposit is non-refundable. If you cancel your booking for any reason — including illness, travel disruptions or a change of plans — the deposit will not be returned.
3. Remaining balance
The remaining 70% of the trip price is due on the first day of your trip, before the trip starts. We accept bank transfer and cash (USD). If the balance is not paid, we reserve the right to cancel your booking without a refund of the deposit.
4. Cancellation by the traveler
You may cancel your booking at any time by contacting us. Refunds depend on when we receive your cancellation notice:
- More than 30 days before the trip: Full refund of the remaining balance (deposit is not refunded). If you have not yet paid the balance, no further charge applies.
- 8–30 days before the trip: 50% of the remaining balance is refunded. Deposit is not refunded.
- 7 days or fewer before the trip: No refund of any amount paid.
Cancellations must be made in writing — by email to [email protected] or by message on WhatsApp. The date of our receipt of your message is used to determine the refund.
5. Cancellation or changes by us
We reserve the right to cancel or modify a trip in cases of bad weather, natural events, low group numbers or other circumstances beyond our control. If we cancel a trip:
- We will offer you a rescheduled date or a full refund of all amounts paid.
- We are not responsible for other costs you have incurred, such as flights, accommodation outside the trip or travel insurance.
If we make minor changes to the itinerary (order of stops, timing), no refund is offered, but we will let you know in advance when possible.
6. Group tours — minimum and maximum numbers
Group tours have a maximum of 6 travelers. If a departure does not reach a minimum number of participants, we may contact you to reschedule or offer a refund.
7. What is included and not included
Exactly what is included in each trip is listed in the itinerary pop-up on the booking page. As a general rule:
- Included: guiding, transport, meals as listed, accommodation (multi-day trips), entrance fees for sites in the itinerary.
- Not included: travel insurance, personal expenses, alcoholic drinks, activities not listed in the itinerary.
8. Health and fitness
Our trips involve physical activity — hiking, horse riding (3-day trip), outdoor conditions. You are responsible for ensuring you are in suitable health to participate. Please tell us about any medical conditions or physical limitations when you book.
We are not responsible for any injury, illness or accident during the trip. We strongly recommend purchasing travel insurance that covers medical evacuation.
9. Travel insurance
Travel insurance is not included in any trip. We strongly recommend that all travelers purchase comprehensive travel insurance before the trip, covering cancellation, medical expenses and emergency evacuation.
10. Behavior
We reserve the right to remove any traveler from a trip if their behavior is dangerous, disruptive or harmful to other participants or our staff. No refund will be given in this case.
11. Itinerary changes
The itinerary shown on this website is a plan. Actual conditions — weather, road conditions, the group's pace — may require changes on the day. We will always aim to complete the full itinerary, but your safety and comfort come first.
12. Governing law
These terms are governed by the laws of Mongolia. Any dispute that cannot be resolved by agreement will be referred to the courts of Övörkhangai Province, Mongolia.
